People Team Assistant


  • Support the Director of People and Culture – with the internal communications platform – the Intranest; to achieve dynamic, relevant, interesting, informative, practical content to fully engage all employees and to maintain a one-stop collaborative knowledge shop
  • Administration tasks: to undertake all within the People Team (full employee life-cycle in relation to remuneration, benefits; onboarding/offboarding; payroll and recruitment; induction)
  • Effective management of various internal databases/in house systems – BambooHR, H&S E-learning; benefits portal; recruitment inbox; external reference checking system
  • Maintenance of employee files - paper and electronic versions; creation of passwords to allow all new employees access to relevant company systems, equipment
  • Timely processing of right to work documents (pre-employment where possible) and DBS documents (as appropriate) for all employees to ensure full compliance in line with legislation and company requirements
  • Professional preparation of formal documents – contracts, letters (change of terms, disciplinary, grievance & /appeal outcomes – for employees); note-taking at formal meetings ½ First port of call for Urbanest colleagues and external partners – role-modelling company values in every aspect/action
  • Support Assistant People Partner with co-ordination and input preparation, to enable accurate and timely processing of the monthly Payroll; working closely with the Finance Manager
  • Support the Hof P&C with co-ordinating the People Team calendar, in regard to cyclical tasks: annual. salary /bonus review; renewal data for life assurance, pensions, eyecare vouchers, cycle to work scheme; annual review of HR policies and processes; monthly review of recruitment costs by source; quarterly follow up with all managers in respect of PDPs team reviews
  • Support the Head of Learning and Development with training course administration /certificate inventory for all employees (as necessary); liaising with external training providers – booking training courses and issuing diary invites to delegates
  • Support the People team with all aspects of recruitment – arranging interviews, assessment centres; adverts for vacancies – on social media and internal platforms
  • Accurate submission of invoices to ensure timely payment to suppliers
  • Ensure confidentiality and compliance with GDPR at all times
  • Support People Team and Hof L&D with ad-hoc projects as and when required


  • Educated to A-level or achieved similar technical experience
  • Work experience in an HR team or similar confidential/professional environment
  • Interested in continuing professional development, commencing CIPD studies
  • Awareness/knowledge of employment law and HR processes
